POSITION INFORMATION

Role Summary

The Administrative Supervisor partners with other members of the administrative team to ensure timely and consistent oversight of scheduling, attendance, medical relations, and financial operations for the station.

Scope & Complexity

This leader will perform routine to moderately-complex administration activities in support of station operations.

Key Duties

  • Finance and budgeting support, including:

  • Track and analyze station financial performance and develop strategies to improve productivity and cost performance.

  • Support annual station budgeting process. Review station vendor invoices and contracts

  • Complete monthly station accruals.

  • Program and policy administration, including:

  • Administer applies station attendance policy and coaches agents on adherence to station expectations.

  • Administer above-wing and below-wing compliance programs, ensuring adherence to internal and external policies and procedures.

  • Assist with administration of medical relations program for employees, including coaching agents regarding their rights and responsibilities under federal and state law.

  • Station personnel administration, including:

  • Act as system SME support for technology solutions (Inform, Roster Apps).

  • Partner with HR systems team to maintain updated and accurate record of employee status, transfers, hires and terminations.

  • Provide guidance to schedulers regarding daily scheduling, including awarding overtime, LOA, etc.

  • Manage station supply inventory, including ordering and stocking.

  • Develop people through effective performance management and ongoing feedback focusing on delegation, coaching, growing and developing the team for capacity and growth, managing performance of individuals in executing tasks, and time management.

  • Influence culture of team through action, presence, and reinforcement of behaviors.

Job-Specific Experience, Education & Skills

Required

  • A minimum of 2 years of relevant administrative experience to include scheduling, attendance policy administration, budgeting, occupational injury administration, and familiarity with FMLA / State Leave Laws.

  • Bachelor's degree in business, finance, economics, math, accounting or related field, or an additional two years of training/experience in lieu of this degree.

  • Proficiency with Microsoft Office, with strong Excel skills and experience using Access (or a similar database/analytical tool).

  • Ability to learn and become SME for scheduling technology solutions.

  • Excellent written, verbal, and presentation skills.

  • Excellent organizational and time management skills.

  • Previous experience in airline operations and able to work additional hours when the need arises.

  • High School diploma or equivalent.

  • Minimum age of 18.

  • Must be authorized to work in the US.

Preferred

  • 3 years of experience in professional administrative roles (e.g., finance, business consulting, human resources).

  • 2 years of experience leading teams.

  • Experience working with cross functional/matrix organizations and effectively collaborate at all levels.

  • Experience with scheduling technology solutions.
